Setting up the RSVP form

How to decide what your guests enter when they reply, set an RSVP deadline and write the texts shown after an acceptance or a decline.

Written by Max Weber

The RSVP form is the heart of your page. This is where your guests accept, tell you whether they are bringing someone, what they eat and which song they absolutely want to hear. Every reply lands in your guest list automatically, so you don't have to type anything. You will find the section under Abschnitte → Anmeldung (sections → RSVP).

Introduction and RSVP deadline

In the „Überschrift" (heading) accordion you write the title (placeholder „Anmeldung", RSVP) and a short description. If you don't want one of the two lines, simply delete the text completely. Then we don't show it on your page at all, and no empty gap is left behind either. You set an RSVP deadline in the „Deadline" accordion: switch on „Deadline anzeigen" (show deadline), then choose the „Deadline-Text" (deadline text, for example „Bitte meldet euch bis zum", please reply by) and the „Deadline-Datum" (deadline date). In between there is also the „Deadline-Text für Allein-Eingeladene" (deadline text for guests invited alone) field. It only applies to the shared link without a plus-one, and leaving it empty is completely fine: then the unchanged standard sentence automatically switches to the singular there („Bitte melde dich bis zum"), while your own words always stay exactly as you wrote them.

Good to know: The deadline badge only appears if the switch is on and both text and date are set. If one of them is missing, it stays invisible.

Locking replies after they are sent

In the „Antworten sperren" (lock replies) accordion you will find the „Antworten nach dem Absenden sperren" (lock replies after sending) switch. If it is on, every acceptance and decline stays exactly as your guests sent it. Right above the send button they then read beforehand: „Nach dem Absenden kannst du deine Antwort nicht mehr selbst ändern. Wenn sich etwas ändert, melde dich einfach bei uns." (after sending, you can no longer change your reply yourself; if anything changes, just get in touch with us). Anyone who replies with „Vielleicht" (maybe) can still decide later.

The switch is saved immediately and applies straight away, even without publishing again. You will find it on the Rückmeldungen (replies) page as well. How to still allow individual guests to make a change is explained in the article „Antworten nach dem Absenden sperren" (locking replies after sending).

Which fields your guests fill in

Everything else is in the „Formularfelder" (form fields) accordion. We always ask for the name, in two fields for „Vorname" (first name) and „Nachname" (last name). Both are required and can't be switched off, everything else is up to you:

  • Email and phone: one switch each to show the field, and indented below it „E-Mail erforderlich" (email required) or „Telefon erforderlich" (phone required). If you switch the field off, the requirement disappears with it automatically.

  • Allow „Noch unsicher" (not sure yet): gives your guests the answer „Vielleicht" (maybe) next to yes and no.

  • Couple RSVP: first and last name for two people, headed „Person 1" and „Person 2" in the form. The second person is only required for an acceptance.

  • Plus-one: asks whether someone is coming along. If your guest ticks the box, they enter the first and last name of their plus-one, both are required. You can change the label („Begleitung", plus-one).

  • Children: a choice from „Keine Kinder" (no children) to „4+ Kinder" (4+ children). With „Namen abfragen" (ask for names), your guests enter the first name for up to four children. They only need a last name if it differs from their own. Without a last name of its own, a child gets the guest's.

  • Diet and allergies: your guests choose between „Keine Einschränkungen" (no restrictions), „Vegetarisch" (vegetarian), „Vegan", „Pescetarisch" (pescatarian) and „Sonstiges" (other), and enter allergies freely.

  • Song request: the loveliest playlist comes together all by itself this way. You can adjust the label.

  • Accommodation and shuttle: two tick boxes for what is needed. The labels are fixed, you only have the on and off switch here.

  • Message: a free text field with its own heading and its own placeholder text.

Two switches affect each other: as soon as the couple RSVP is on, „Begleitung abfragen" (ask about a plus-one) is automatically deactivated, and the editor shows the note „Nicht bei Paar-Anmeldung" (not with couple RSVP). Instead, your guests can tick in the form that they are coming alone.

If a plus-one is coming along or the couple RSVP is active, diet and allergies are asked separately for both people.

Texts after an acceptance or a decline

In the „Bestätigungs-Texte" (confirmation texts) accordion you write the confirmation title, the acceptance message and the decline message. Take a moment for it: this is the last sentence your guests read from you after they have accepted.

Where the replies end up

Every reply appears immediately under Gäste (guests) and Rückmeldungen (replies) and announces itself via the bell icon in the dashboard as „Neue Zusage" (new acceptance), „Vielleicht-Antwort" (maybe reply) or „Absage erhalten" (decline received). 🎉

Frequently asked questions

Can I add my own questions?
No, the fields are fixed. For anything extra, the message field works well, and you can word its heading freely.

Can guests choose their menu?
No, there is no menu choice in the form. You ask about diet and allergies and plan with that.

What happens with a decline?
Then the form only asks for the name and, if you have switched those fields on, for email and phone. All other fields disappear, and the button is called „Absage senden" (send decline).

A guest would like to change their reply.
Without the reply lock, that is really easy: they send the form again through their personal link, or without a link using the same name and the same email address as the first time. The new reply replaces the old one. If you have switched the lock on, their personal link only shows their acceptance or decline for reading. Then you change it yourself under Gäste (guests) via the three-dot menu with „Antwort ändern" (change reply), or you allow them there with „Änderung erlauben" (allow change) to reply once more themselves.

Do guests who have already replied have to enter anything again?
No. All replies stay as they are. When a guest opens their personal link, their first and last name from your guest list are already in the fields. Whatever is filled in there and they don't change stays exactly as it is, even if, for example, only a first name was entered. Both fields are only needed for new people and for names they change themselves.

Why can't anyone reply yet?
The form only works once your page is published. For that you need Premium: a one-off 89 € instead of 149 € for one year or 129 € instead of 219 € for two years, each including VAT. The introductory discount is deducted automatically. After that, you click „Einladung veröffentlichen" (publish invitation) in the editor once.
