Designing your invitation email

How to adjust the subject, the text, the header image and the colour of your invitation email before it goes out to your guests.

For many guests the invitation email is their first impression of your celebration. That is why you get to design it entirely to your taste: your own words, your own header image, your own colour. You can do this before you buy, so take your time and play around until it feels right.

Where to find the template

  1. Open Einladungen (invitations) in your dashboard.

  2. Expand the area „Per E-Mail versenden“ (send by email).

  3. In the row „E-Mail-Vorlage“ (email template) click „Anpassen“ (customise).

The dialog „Einladungs-E-Mail anpassen“ (customise invitation email) opens. All the fields are on the left, and on the right a live preview runs with an inbox header, so you see right away what your guests will see.

What you can adjust

  • Betreff (subject): by default it is „Einladung: “ plus the title of your event.

  • Kopfbild (header image): optional. You can upload a photo of your own or search for a stock photo. With a header image, the „Unsere Einladung“ brand header disappears from the email.

  • Überschrift und Unterzeile (headline and subline): your names and „laden herzlich ein“ (warmly invite you) are preset, and for a birthday it says „lädt herzlich ein“.

  • Nachricht (message): your personal words to your guests.

  • Button-Text: by default it is „Zur Einladung & Anmeldung“ (to the invitation and sign-up).

  • Button-Farbe (button colour): through the colour picker or as a hex code. The default is the wine red #7A3C45.

  • Schriftart (font): „System (Standard)“, „Serif (Elegant)“ or „Modern (Clean)“.

  • Seiten-Passwort in der Mail zeigen (show the page password in the email): this option only appears while your page is protected with a password. Switch it on and we write the password at the bottom of every invitation, so your guests do not have to ask for it first.

When you are happy, click „Speichern“ (save). The row „E-Mail-Vorlage“ then says „Individuell angepasst“ (customised) instead of „Standard-Vorlage aktiv“ (default template active).

Good to know: Please write your message as plain running text, without bold, italics, lists or links. Formatted text looks lovely in the preview, but in the real email the formatting currently arrives at your guest as visible code. The subject, the headline, the subline and the button text are not affected by this.

What gets added automatically

A few things you do not have to write yourself, the email fills them in for every guest on its own:

  • The greeting with the guest's first name, so for example „Liebe Anna,“ (dear Anna).

  • The date from your event details, written out like „Samstag, 12. September 2026“. If no date is saved, that line is left out.

  • The button link to your page, with the guest's personal code inside it. That is what fills in their sign-up form in advance.

  • The page password in a block of its own at the end, but only if your page is protected and you switched the option above on. If you remove the protection later, the email leaves the block out again all by itself.

Frequently asked questions

Can I save several templates?
No, there is exactly one template per event. It applies to all invitations, reminders included. If you change the text later, only the emails sent after that will carry the new text.

How do I get back to the default template?
There is no reset button. Just clear the field in question and save. Then the default text applies again.

My font looks different for my guest.
That is normal. The choice only affects the running text, headings always use the brand font. Many inboxes, Gmail among them, never load custom fonts and show a standard one instead.

Can I use my own sender address?
No. All invitations come from „Unsere Einladung“ with the address [email protected]. A sender address of your own is not possible.

Does the template have to be finished before I buy?
No, you can change it whenever you like. Only the sending itself needs Premium.
