Keeping an eye on your sending status

How to read the tiles, tabs and status pills on the Einladungen page and see who is still waiting.

Who has already received an invitation, who is still waiting? The tab „Per E-Mail“ (by email) on the page Einladungen (invitations) answers that at a glance, so you forget nobody and nobody gets contacted twice.

The four tiles at the top

  • Mit E-Mail (with email): this many guests have an email address on file. You invite everyone else through the link.

  • Versendet (sent): the invitation has already gone out to this many guests.

  • Geöffnet (opened): meant for emails that have been opened.

  • Ausstehend (pending): this many guests are still waiting for their invitation.

Good to know: The tile „Geöffnet“ currently stays at 0 in almost every case, even when your guests read the email long ago. For the real picture, please go by the replies from your guests rather than by this number.

The tabs and the search

Below the tiles you filter your guest list:

  • „Ausstehend“ (pending): guests with an email address who have not received an invitation yet and have not answered yet either. Your to-do list.

  • „Versendet“ (sent): everyone who has been contacted or marked as invited.

  • „Geantwortet“ (replied): everyone who accepted, declined or chose „Vielleicht“ (maybe) through your shared link without an invitation ever being recorded. This tab only appears when there are guests like that at all.

  • „Alle“ (all): the complete list.

The search field lets you find a guest straight away by first name, last name or email address. The list is always sorted by last name. On your phone the email column and the preview are hidden.

What the statuses mean

  • Ausstehend (pending): no invitation sent yet.

  • Manuell eingeladen (invited manually): you invited this guest yourself, for example in person or over WhatsApp.

  • Schon geantwortet (already replied): this guest accepted, declined or chose „Vielleicht“ (maybe) without ever receiving an invitation from here. They were obviously invited, just not through this page.

  • Versendet (sent): the invitation email has gone out.

  • Geöffnet (opened): intended for emails that have been read, though in practice you will hardly ever see this status.

Whoever has replied gets no more invitations

As soon as a guest has accepted, declined or chosen „Vielleicht“ (maybe), the „Senden“ (send) button disappears for them. They no longer count towards the pending invitations either and are skipped in the bulk sending. That applies even if they received an email long ago: whoever has replied needs neither an invitation nor a reminder. You can still look at the preview of their email.

Marking guests as invited

If you already invited someone on the phone or when you ran into them, mark them in your guest management. Under Gäste (guests) open the three-dot menu and choose „Als eingeladen markieren“ (mark as invited). This guest is skipped when you click „Alle einladen“ (invite everyone) and will not get a second email. In the list they show up in the „Versendet“ tab, but they still carry the „Senden“ (send) button, because no email has actually gone out.

Resetting an invitation

Sent to the wrong person or marked by accident? In that same menu under Gäste you will find „Einladung zurücksetzen“ (reset invitation). It removes both the sent flag and the manual mark, and the guest is back under „Ausstehend“. After that you can send them an invitation as usual.

Frequently asked questions

A guest does not appear in the „Ausstehend“ tab at all.
There are three reasons for that: they have no email address on file, they are marked as „Manuell eingeladen“ (invited manually), or they have already replied and therefore sit in the „Geantwortet“ (replied) tab. You can change the address and the marking in your guest management.

My overview shows a different number for „Geöffnet“.
That is right, the card in your dashboard counts the replies that have come in there, so the yes and no answers. Same name, different meaning.

Where do I see who said yes?
Not here, but in your guest management and under Rückmeldungen (replies). This page only shows who received an invitation.
