Reminding guests about their invitation

How to send a guest their invitation once more when their reply is taking its time.

Some guests reply straight away, others need a gentle nudge. That is why there is the button „Erinnern“ (remind) with the arrow icon for everyone who has already received an invitation.

How to remind a guest

  1. Open Einladungen (invitations) and expand the area „Per E-Mail versenden“ (send by email).

  2. Switch to the tab „Versendet“ (sent) or find the guest through the search field.

  3. Click „Erinnern“ in their row and confirm the sending.

What your guest receives

They get exactly the same invitation again, with the same subject, the same text and their personal link. There is no separate reminder template.

If you would like the email to sound different, adjust your template first, for example the subject to „Erinnerung: “ (reminder) plus the event title and the message to a few friendly lines. Keep in mind that the template then applies to all further invitations too. If you only wanted to change it for the reminder, set it back afterwards.

Good to know: Reminders always go out guest by guest. There is no button that reminds everyone at once, and the system does not send automatic follow-up emails either. You stay in control of who gets contacted again and when.

Frequently asked questions

Who should I remind?
Ideally only the people you have not heard back from. Anyone who has already said yes or no will not be thrilled about a second invitation. You can see where things stand in your guest management and under Rückmeldungen (replies).

What happens to the date under „Versendet am“ (sent on)?
It is overwritten when you remind someone. After that your list shows the time of the most recent email.

Can I remind someone more than once?
Yes, technically as often as you like. From experience two friendly follow-ups are plenty, and after that a personal phone call does more good than a third email.

For one guest the button says „Senden“ (send) instead of „Erinnern“.
Then no email has gone out to them yet. That is the case for guests you marked as „Manuell eingeladen“ (invited manually), for example.
