Reminding guests about their invitation

How to send one single guest their invitation once more, or remind everyone you have not heard from with a single click.

Some guests reply straight away, others need a gentle nudge. There are two ways to do that, and you decide which one fits better right now.

  • Reminding one single guest. Under Einladungen (invitations) you send exactly that one person their invitation again.

  • All the open replies at once. Under Webseite (website) there is a reminder email of its own that goes to everyone you have not heard from yet.

Reminding one single guest

  1. Open Einladungen (invitations) and switch to the tab „Per E-Mail“ (by email) at the top.

  2. In your guest list, go to „Versendet“ (sent) or find the guest through the search field.

  3. Click „Erinnern“ (remind) in their row and confirm the sending.

What your guest receives

They get exactly the same invitation again, with the same subject, the same text and their personal link. There is no separate reminder template at this point.

If you would like the email to sound different, adjust your template first, for example the subject to „Erinnerung: “ (reminder) plus the event title and the message to a few friendly lines. Keep in mind that the template then applies to all further invitations too. If you only wanted to change it for the reminder, set it back afterwards.

What needs to be in place

The button needs an email address for the guest, a running term, a published invitation, and it must not be stuck in the save the date phase. If one of those is missing, you see a small lock instead of the arrow icon. For guests who have already accepted or declined, the button disappears completely, because a second invitation would only confuse them.

Reminding everyone you have not heard from

If you would rather not click row by row, there is the group reminder. In your dashboard, click Webseite (website) on the left, switch to the tab „Einstellungen“ (settings) at the top and look towards the bottom of the card „Antwortfrist“ (RSVP deadline). That is where the area „Gäste erinnern“ (remind guests) lives, with the line „Erinnere alle, die noch nicht geantwortet haben, mit einer eigenen Mail.“ (remind everyone who has not replied yet with an email of your own).

  1. Switch on the toggle to the right of the heading. Only then does the area open up and we start counting for you.

  2. On the tile „Noch ohne Rückmeldung“ (still no reply) you can see how many people it is about, for example „7 Gäste haben noch nicht geantwortet und sind per E-Mail erreichbar.“ (7 guests have not replied yet and can be reached by email).

  3. With „Mail anpassen“ (customise email) you write your own subject and your own message. The preview follows along on the right.

  4. Click „Erinnerung senden“ (send reminder). We ask once more („Erinnerung jetzt senden?“, send the reminder now?), and after your confirmation the emails go out.

Everyone without an acceptance or a decline gets written to, as long as an email address is saved for them. Guests who have not been sent an invitation by email at all are included too. Anyone who has already replied stays out of it. Every email contains your guest's personal link, so the sign-up form is already set up for them.

What the email says

Right at the top there is the line „Seid ihr dabei?“ (are you coming?), for birthdays „Bist du dabei?“, and your event title below it. Then comes your text. If you have set a deadline and it has not passed yet, we add „Bitte antwortet bis zum 12. Juni 2026.“ (please reply by 12 June 2026). If it has passed already, we leave that line out so the email does not sound like a reproach. At the very end there is the button „Jetzt antworten“ (reply now).

If you write nothing at all, our default text goes out. The subject line is then „Kleine Erinnerung zu {eventname}“ (a little reminder about {eventname}) and the message stays warm and short. Two placeholders help you while writing: {gastname} is replaced by your guest's first name, {eventname} by the name of your event. If somebody has no first name saved, we warmly write „ihr Lieben“ (dear ones).

What needs to be in place

  • Your term is running. Otherwise the button is greyed out and underneath it says „Zum Verschicken braucht deine Seite eine aktive Laufzeit. Deinen Text kannst du schon jetzt vorbereiten.“ (to send, your page needs an active term, and you can prepare your text already now).

  • Your page is published and shows your full invitation, not just the save the date any more. Otherwise your guests could not reply at all.

  • The toggle at „Gäste erinnern“ (remind guests) is on.

  • There is at least one guest without a reply and with an email address.

  • There are 24 hours between two group reminders. If you click sooner, we gently say „Du hast gerade erst erinnert. Gib deinen Gästen einen Moment.“ (you have only just sent a reminder, give your guests a moment).

Good to know: The system does not send automatic follow-up emails. Nothing ever goes out without you clicking „Erinnern“ (remind) or „Erinnerung senden“ (send reminder). So you always stay in control of who gets contacted again and when.

Frequently asked questions

Who should I remind?
Ideally only the people you have not heard back from. The group reminder takes care of exactly that by itself. You can also see where things stand in your guest management and under Rückmeldungen (replies).

What is the difference between the two ways?
Under Einladungen (invitations) the same invitation goes out to one single guest again. Under Webseite (website) you write a short reminder email of your own, and it goes out in one go to everyone you have not heard from.

What happens to the date under „Versendet am“ (sent on)?
It is overwritten when you remind someone individually. After that your list shows the time of the most recent email. The group reminder does not touch that date, it leaves the entry „Erinnerung gesendet“ (reminder sent) on your guest's detail page.

Can I remind people more than once?
Single guests as often as you like, the group reminder with a day in between each time. From experience two friendly follow-ups are plenty, and after that a personal phone call does more good than a third email.

For one guest the button says „Senden“ (send) instead of „Erinnern“ (remind).
Then no email has gone out to them yet. That is the case for guests you marked as „Manuell eingeladen“ (invited manually), for example.
