Collecting your guests' photos

The note after the party: who receives it, when it goes out and how to write it in your own words.

The day after the party, the loveliest pictures are sitting on thirty different phones. Instead of collecting them one by one, you send your guests a warm little note with a QR code and the link to your photo page. They upload, you approve, and everything ends up in one place. We call that note Foto-Einsammeln (collecting photos), and you can write it entirely yourself.

Switching the photo collection on

  1. Click Galerie (gallery) in the sidebar and scroll down to the Foto-Einsammeln card.

  2. Turn on the toggle at the top right. You then read „Foto-Einsammeln ist aktiviert. Wir melden uns am Tag nach eurem Event bei euren Gästen." (Photo collection is on. We will get in touch with your guests the day after your event.)

  3. Take a look at the two boxes underneath: on the left it says when the email goes out, on the right how many guests have an email address.

The toggle does two things at once: it schedules the note and it opens your photo page for uploads. While it is off, that page does not accept any photos at all. The card says so too: „Schalte das Foto-Einsammeln oben ein, sonst nimmt die Upload-Seite die Fotos deiner Gäste gar nicht an." (Turn the photo collection on above, otherwise the upload page will not take your guests' photos.)

Who gets the note, and when

  • Who: every guest with an email address in your guest list. Guests without one are left out, so it is nicest to pass them the link in person.

  • When: automatically on the day after your event. The card then reads something like „Geplant für Sonntag, 16. August 2026" (scheduled for Sunday, 16 August 2026). If your event date is still missing, you read „Sobald euer Event-Datum feststeht, planen wir den Versand automatisch." (as soon as your event date is set, we will schedule the send automatically).

  • Afterwards: it says „Versendet am …" (sent on …) and you know everything has gone out.

The note in your own words

The default text is warm and fits most celebrations. It already points your guests to both ways: „Scannt dafür den QR-Code oder tippt auf den Button." (scan the QR code or tap the button). If you would like to, rewrite it:

  1. Click „Mail anpassen" (edit the email).

  2. Adjust the Betreff (subject). It is preset to „Teilt eure Fotos von {eventname}" (share your photos from {eventname}).

  3. Write your Nachricht (message). You can make words bold or italic, build lists and add paragraphs, just like in the editor.

  4. The Vorschau (preview) on the right follows along. It shows exactly the email your guests will get, including the button „Fotos hochladen" (upload photos) and the QR code.

  5. Click „Speichern" (save). The card then reads „Individuell angepasst" (customised) instead of „Standard-Text aktiv" (default text active).

Two placeholders help you here: {gastname} is replaced by your guest's first name and {eventname} by the name of your event. So every email sounds personal even though you only write it once.

Good to know: we add the link to your photo page automatically, you do not have to build it in yourself. We also put a QR code into the email that leads to the very same page. Your guests either scan it straight out of the email with their phone camera or simply tap the button, both work just as well. The address is also printed on the card, where you can click it and try the page out once.

Sending straight away instead of waiting

You do not want to wait until the next day, perhaps because your celebration runs over several days? Then click „Jetzt senden" (send now). We ask once: „Foto-Einsammeln jetzt starten?" (start collecting photos now?) with a note that the automatic send on the day after your event is dropped in that case. Confirm, and the emails go out immediately.

After that the button reads „Erneut senden" (send again). It is deliberately protected by a second question, because your guests will receive the note a second time. Sometimes that is exactly right, for instance as a friendly reminder a week later.

What else needs to be in place

  • Your page is published. Without that the link leads nowhere and your guests only see „Bald verfügbar" (coming soon).

  • You have Premium. Sending emails is part of the paid side, just like the invitations.

  • The photo collection is switched on, otherwise your guests could not upload anything through the link.

  • At least one guest has an email address. Otherwise the card reads „Sobald deine Gäste eine E-Mail-Adresse haben, können wir losschicken." (As soon as your guests have an email address we can send.)

Frequently asked questions

Where do the photos from this email end up?
Under Dashboard → Galerie in the Gäste-Fotos tab. In the Quelle (source) filter they appear as Foto-Einsammeln, so you can tell them apart from the uploads out of your gallery.

Do the photos appear on our page right away?
No, only after your approval. Every picture waits for you in the gallery.

I clicked „Jetzt senden" and got a note saying the email has already gone out.
That is the protection against a duplicate email. If your guests really should receive it once more, confirm the second send with „Erneut senden".

Can I see what the email looks like beforehand?
Yes. In the „Mail anpassen" window a real preview runs along on the right, subject line, button and QR code included. The placeholder {gastname} appears there as a sample name.

What is the QR code in the email for?
It leads to exactly the same upload page as the button. If someone reads the email on a laptop but has the photos on their phone, they simply hold the phone camera over the code and upload from there. Above it the email says „Oder mit dem Handy scannen" (or scan it with your phone). Anyone reading the email on their phone taps the button instead. Both end up in the same place.

Do I have to switch the photo collection off again afterwards?
Only if you do not want any more uploads. While it is on, your guests can add pictures at any time, and many of them still do weeks later.
