Adding, editing and deleting guests

How to add your guests one by one, fill in missing details later, merge duplicate entries and remove what you no longer need.

Your guest list is the heart of your planning. This is where you gather everyone who should be there, and later you see at a glance who has already said yes. You will find it in your dashboard under Gäste (guests). Adding, changing and deleting guests is completely free, you do not need Premium for it.

Adding a guest

  1. Open Gäste (guests) and click „Gast hinzufügen" (add guest). If your list is still empty, the button sits in the middle of the card „Noch keine Gäste" (no guests yet).

  2. Enter the Vorname (first name), that is the only required field. You can leave out the Nachname (last name) if you do not know it right now and add it later through „Bearbeiten" (edit).

  3. Add E-Mail and Telefon (phone) if you like. You only need the email address if this guest should receive an invitation by email later.

  4. Pick a Gruppe (group). „Gemeinsame Freunde" (mutual friends) is preselected.

  5. In the field Haushalt (household) you can write a shared label, for example „Familie Müller".

  6. With the toggle „Plus One erlauben" (allow a plus one) this guest may bring a companion.

  7. Under „Kinder" (children) you pick how many children are coming and can add their names. Both can be changed at any time later.

  8. For a wedding there are two more toggles: „Braucht eine Übernachtung" (needs accommodation) and „Braucht den Shuttle" (needs the shuttle). Set them if you know it anyway, for example after a phone call with Aunt Rita. Other occasions do not have these two, and the sign-up form does not ask for them there either.

  9. Under „Interne Notizen" (internal notes) there is room for everything that is nobody's business but yours.

  10. Click „Gast hinzufügen" (add guest) and you are done.

Every new guest starts with the status „Ausstehend" (pending) and automatically gets a personal 8-digit invitation code. That code makes sure a later reply is matched to exactly the right person.

Good to know: You cannot choose the RSVP status while adding a guest, everyone starts on „Ausstehend" (pending). Once they are in your list you can enter their answer at any time through the three-dot menu with „Antwort ändern" (change reply), in case the yes arrives on the phone.

Changing details later

Nobody has all the email addresses ready on the first try. You can go back and edit every guest at any time:

  • In your guest list through the three-dot menu of the row („Aktionen", meaning actions) on „Bearbeiten" (edit).

  • Or you open the guest and click „Bearbeiten" at the top right.

The dialog „Gast bearbeiten" (edit guest) opens with the same fields as when you added them. Save it with „Speichern" (save). What you cannot change here is the invitation code and the answers your guest gave themselves. The yes or no does not go through this dialog but through „Antwort ändern" (change reply) in the three-dot menu. An email address you correct later also has no effect on invitations that have already gone out, those you need to send again.

A few details from the reply you can still look after here: your guest's children (number and names) and, at a wedding, the toggles „Braucht eine Übernachtung" (needs accommodation) and „Braucht den Shuttle" (needs the shuttle). You can set all of these whenever you like and take them off again just as easily, in case something changes and your friend would rather sleep at home after all.

Merging two entries

Sometimes the same person is in your list twice. The typical case: you added Laura ages ago, and Laura later signs up through your page without using her personal link. We only match a sign-up like that when it clearly fits. If there is any doubt, we would rather create a second entry than overwrite somebody else's answer.

You spot that second entry by the note „Möglicher Doppeleintrag" (possible duplicate) right next to the name. On a phone it sits one line below, next to the group.

This is how you put the two together:

  1. In the row that should stay, open the three-dot menu and choose „Zusammenführen…" (merge). Usually that is the entry you looked after yourself, with group, household and email address.

  2. In the dialog „Einträge zusammenführen" (merge entries) this entry sits right at the top with the sentence „Dieser Eintrag bleibt bestehen und wird ergänzt." (this entry stays and gets filled in).

  3. Below that, under „Welcher Eintrag ist der doppelte?" (which entry is the duplicate?), pick the second row. Matching names are listed at the top, and you can also search by name or email.

  4. Click „Zusammenführen" (merge). A message confirms that the two are now one entry.

Answers and contact details move over everywhere the remaining entry is still missing something. Whatever is already there stays untouched. We put the internal notes from both entries together so that nothing gets lost, and the duplicate disappears from your list.

Good to know: The direction is set on purpose. The entry you opened the menu on is always the one that stays. If you want it the other way round, close the dialog and simply open the menu on the other row.

When they really are two different people

Two Annas in one family, two friends with the same name: then there is nothing to merge, and the note may simply go. To do that, open the three-dot menu in the row and choose „Kein Doppeleintrag" (not a duplicate). The note disappears right away and nothing about the guest's details changes. On the guest's own page the same button sits right next to the note.

The note also goes away by itself as soon as you edit the entry and save it. After all, you have looked at it then. The line in the internal notes stays, so that you can still read later how the entry came about.

Deleting a guest

  1. Open the three-dot menu in the row and choose „Löschen" (delete). On the guest detail page you find it in the card „Aktionen" (actions) under „Gast löschen" (delete guest).

  2. Confirm the question. If your guest has a companion with an entry of their own, we ask you right there whether the companion should be deleted too. If you choose „Nur … löschen" (only delete …), they stay and are kept as a guest of their own from then on, with everything they have already answered.

  3. The message „Gast gelöscht." (guest deleted) tells you that everything is gone. If you delete from the detail page, you land back in your guest list automatically.

Several at once: Tick the guests you want in your guest list using the checkboxes. In the bar above the table you can then delete the whole selection together, assign a group to them or select all visible guests with one click. A bulk delete removes exactly the entries you selected. A companion with an entry of their own that you did not select stays on as a guest of their own. Children and companions without an entry of their own belong to their main guest's sign-up and are removed along with them.

Along with the guest, their current entry disappears, including everything they told you about food, children or wishes. Changes to their reply that were already saved stay in your replies timeline.

Good to know: There is no recycle bin. Deleted guests cannot be restored, you would have to add them again.

Frequently asked questions

I have 120 guests. Do I really have to type them all in one by one?
No. If your list already exists in Excel, Numbers or Google Sheets, the CSV import is much faster. You can read how that works in the article „Gäste per CSV importieren und exportieren".

Can I delete several guests at once?
Yes: tick the guests with the checkboxes and choose „Löschen" (delete) in the bar above the table. Single guests you still remove through the three-dot menu.

I deleted a main guest but their companion is still there.
Then you chose „Nur … löschen" (only delete …) when deleting. The companion has been kept as a guest of their own since then, with everything they had already answered. You can delete them separately at any time.
