Vegetarian, gluten free, three children, one room and please, please this one song: everything your guests fill in in the sign-up form ends up collected in their profile. That is where you pick it up when the caterer, the hotel or the DJ asks you for numbers.
Where the replies live
In your dashboard open Gäste (guests), click the guest's name and look at the card „RSVP-Antworten" (RSVP replies). Above it you also see when they replied. If someone has not answered yet, you read „Noch keine RSVP-Antwort erhalten." (no RSVP reply received yet).
Which details you find
Only the questions you switched on in the editor and that your guest actually answered will show up:
Wirst du dabei sein? (will you be there?) with „Ja, ich komme gerne! 🎉", „Leider kann ich nicht kommen" or „Vielleicht"
Begleitung (companion)
Ernährungswünsche (dietary needs)
Allergien oder Unverträglichkeiten (allergies or intolerances)
Übernachtung gewünscht? (would you like a room?)
Shuttle benötigt? (do you need a shuttle?)
Liedwünsche für die Party (song requests for the party)
Kinder (children), with the number and, if given, the names
Möchtest du etwas ausrichten? (would you like to leave a message?) with your guest's personal note
Switching the questions on in the editor first
You decide yourself which fields your form shows at all. In the editor you will find this in the settings of the section Anmeldung (sign-up), where you get toggles such as „Begleitung abfragen" (ask about a companion), „Kinder abfragen" (ask about children), „Allergien abfragen" (ask about allergies) and „Shuttle abfragen" (ask about the shuttle). It is best to ask only for what you really need, because short forms get filled in far more often.
Good to know: Think about these toggles early. Anyone who has already replied will not be asked a second time. If you switch on „Allergien abfragen" late, the detail will be missing from every reply you have received so far.
Collecting it all for the caterer
Dietary needs and allergies sit with each individual guest. You can still get them all together for the caterer: click „Exportieren" (export) in your guest list. In the dialog „Gästeliste exportieren" (export guest list) the quickest way is the template „Für den Caterer" (for the caterer). It sets exactly the columns your kitchen needs: first name, last name, table, category, status, diet, allergies, age and belongs to. The table column appears as soon as you have added tables in the seating plan, and the age column when there are children with an age.
Then pick the format. Excel is handy when your caterer wants to filter and sort themselves: the header row stays put while scrolling and the filter is already on the columns. PDF is the right choice for printing and passing on, up to eight columns fit on one page. If the template „Für den Caterer" ends up with all nine columns, the PDF leaves out „Gehört zu" (belongs to). Table, diet, allergies and age stay on the page. Take CSV if you want to keep working on the list in Excel yourself.
In the file every person has a row of their own, and every question from your form has a column of its own, so dietary needs and allergies are in there too. Filter the status column by „Zugesagt" (accepted) and you see at a glance what the people who are coming need. If you pass a CSV or Excel file on to your caterer or anyone else, take the columns „Einladungscode" (invitation code) and „Einladungslink" (invitation link) out of the selection first, so that nobody can reply in someone else's name. The PDF does not contain those two at all. Personal messages and the number of people are also collected for you on the page Rückmeldungen (replies). And if you already have a seating plan, „Tischplan als PDF" (seating plan as PDF) adds up diet and allergies for every table. You can read more in the article „Den Tischplan erstellen" (creating your seating plan).
Frequently asked questions
Can I add a reply for a guest myself?
The reply cannot be edited in the profile. If someone tells you their wishes on the phone, write them into that guest's internal notes, then you have everything safely in one place.
I do not see replies from anyone.
Replies can only come in once your page is published and your guests have the link. While you are still designing, the card stays empty.
